About the Role

LEAD DOCUMENT CONTROLLER

MINIMUM REQUIREMENTS:

· 5 to 10 years document control experience with electronic document management system.

· Substantial EDMS (Electronic Document Management Systems) experience at intermediate level.

· Working knowledge and experience of ERP (Enterprise Resource Planning) SAP / Oracle.

· Strong competency in Electronic Document Management Systems (EDMS) and document management work processes.

· University Certificate Program in Intellectual Property Management / with WIPO (World Intellectual Property Organization) Worldwide Academy / Configuration Management accredited university in South Africa.

· National Higher Diploma in Information Management, Business Law / Equivalent.

· Work well with teams of people, high attention to detail, analytical and structured.

· Ability to work under pressure.

· Excellent technical and communication skills both written and verbal

  • Good knowledge of      engineering terminology that applies to document control, and principles      of sign off, revision control and title block information that applies to      drawings, documentation, and correspondence.

  • Excellent organisational skills and      familiarity with effective filing.

RESPONSIBILITIES:

· Interfacing with internal and external stakeholders to ensure project information requirements are secure and communicated in a timely manner. Promote audit and assurance to ensure information integrity is maintained.

· Implement Governance Processes for Storage, Management and Tracking of business documentation & documents in respect of RTT projects across the project lifecycle.

· Contribute to the development of document control procedures and practices and ensure that the Document Control Team on the Project(s) adhere to these procedures.

· Contribute to the disaster recovery and business continuity program of the Department.

· Participate in methods and techniques for improving quality, productivity.

· Update a MS Teams Central Document Management Repository with RTT Project Documentation.

· Responsible for electronic receipt, recording, tracking reporting, and routing of related documents in a timely manner.

· Maintain the Document Control database through continuous updates.

· Control Retrieval of Documentation & Maintain Confidentiality and Information Security.

· Coordinate project doc control requirements for RTT project portfolio and business partners

· Compile documentation lists as requested by client.

· Distribute workload on projects with guidance from Project Controls Manager.

· Provide Supervision; Customer Support; Ensure Project & Corporate Compliance with Document Management Policies and Procedures.

· Train and supervise document control staff on projects and coordinate between projects.

· Monitor all drawings, documentation and correspondence requirements as outlined by pre-set schedules to aid compliance to deadlines.

· Manage processes for drawings/documents and correspondence / information Knowledge transfer.

· Develop a program to upskill / train the organisation staff over the next 12 months.
